What we collect and why.

Last updated October 28, 2026. Questions go to contact@designerdigital.ca.

Who we are

OctaneOS is a product of Designer Digital, a web design studio in Canada. We run the dashboard at app.octaneos.net, the websites we build for dealerships, and this marketing site.

Two kinds of people use OctaneOS

Dealership staff sign in to the dashboard to manage inventory, leads and promotions. Car shoppers visit a dealership's website and may send a message or an offer. We treat the two differently.

What we collect from dealership staff

  • Your name and email address, so you can sign in and your coworkers can see who did what.
  • If you sign in with Google, the basics Google shares with us: your name, email address and profile picture. We use them only to sign you in and show your name in the dashboard. We do not read your Gmail, calendar, contacts or anything else in your Google account.
  • Your phone number, only if you type it in to get text alerts. You can turn alerts off or remove the number at any time.
  • A record of actions taken in the dashboard, such as who changed a price or removed a vehicle. This keeps the account safe and lets owners see what happened.
  • When you last signed in and when you were last active, shown to the owners of your dealership on the team page.

There are no passwords. You sign in with a one time code sent to your email, or with Google, and you can add an authenticator app for extra protection.

What we collect from car shoppers

When you fill in a form on a dealership's website, what you send goes to that dealership: usually your name, email, phone number, your message, and photos or details of a car you want to sell or trade. That information belongs to the dealership. We store and process it on their behalf so they can reply to you. If you want it changed or deleted, contact the dealership, or write to us and we will help.

Dealership websites built on OctaneOS count visits without cookies. We keep a daily count made from a one way hash of your connection details, which cannot be turned back into you and is not shared across websites. We do not run advertising trackers. A dealership may choose to add its own analytics or advertising tools to its site, and those are covered by that dealership's own policy.

Where your data lives

  • The database runs on Supabase in Canada.
  • The dashboard, the API and dealership websites run on Vercel. Vehicle photos and documents are stored with Vercel as well.
  • Emails are sent through Resend. Text messages are sent through Twilio.
  • When a dealership uses the writing assistant for a vehicle description, the details of that vehicle are sent to Anthropic to draft the text. No customer information goes with it.

Each of these companies only gets what it needs to do its job for us, and none of them may use the data for anything else.

What we never do

  • We do not sell personal information.
  • We do not use it for advertising.
  • We do not use data from Google sign in for anything except signing you in. Our use of information received from Google follows the Google API Services User Data Policy, including its Limited Use requirements.

How long we keep it

Dealership data stays as long as the dealership has an account. Vehicles a dealership deletes are kept for 30 days in case of a mistake, then removed along with their photos. When an account closes we delete its data within 30 days, unless the law requires us to keep part of it longer.

Your choices

You can see and change your name, email and phone number on the account page in the dashboard. Dealership owners can export their inventory and leads at any time. To get a copy of your information, correct it, or have it deleted, email contact@designerdigital.ca and we will answer within 30 days.

Children

OctaneOS is a tool for businesses. It is not meant for anyone under 18, and we do not knowingly collect information from children.

Changes

If this policy changes in a way that matters, we will put a notice in the dashboard and update the date at the top of this page.
